Please read these terms carefully as they make up your agreement with us. 

Deposits paid to confirm bookings are non-refundable and cancellations are subject to the terms described below. Any requests to amend or cancel your booking should be addressed directly to the centre or campsite using the contact details included in your confirmation. 

These terms and conditions were approved for use on 31/3/22 and beyond.

Introduction

Woodcraft Folk is a UK charity, and also registered as a company in England and Wales company number 8133727. Woodcraft Folk welcomes family, household and group bookings at our centres and campsites. 

Woodcraft Folk manages residential centres at: 

● Biblins, The Doward, Whitchurch, Herefordshire, HR9 6DX 

● Cudham, New Barn Lane, Westerham Hill, Kent, TN16 2HT 

● Heightgate, Erringden, West Yorkshire , OL14 6DL ● Lockerbrook, Snake Pass, Hope Valley, Derbyshire, S33 0BJ

Data Protection

For the purposes of data protection legislation for data relating to your booking (“Personal Data”), Woodcraft Folk is the Data Controller and the individual centre or campsite is the Data Processor.

We will retain any Personal Data collected on your behalf for no longer than is reasonably required for record keeping, complying with legal obligations and resolving disputes. Any Personal Data we have identified as sensitive will be password protected prior to storage.

Prices, Bookings, Payments & Fees

Current charges will be confirmed with you at the time your booking is made through the booking confirmation. The booking confirmation forms a part of these terms and conditions. They are found on our centre websites here: 

On receipt of your booking request the centre will issue you an invoice unless you have paid in full on-line. The invoice will include a non-refundable deposit at 30% of the total cost of your booking. Following your initial enquiry we will hold your booking for two weeks. Your deposit is due at this point. We will then confirm your booking. 

Your booking is only secure once your deposit payment has been received. 

The total cost of your booking needs to be settled 28 days prior to your arrival. 

If the total balance is not settled 28 days prior to your arrival we reserve the right to cancel your booking without refund of your deposit

Terms & Conditions

Guests

Every booking must: 

  • Name a booking lead who is over 18 
  • Provide contact details (address, phone, email) to enable effective communication 
  • Not exceed the total number of people permitted at the centre 
  • Abide by any site rules and restrictions you are informed of through the booking process or whilst on site

Arrival Time / Departure Time

Please see the details in the joining instructions / booking confirmation for the site you have booked.

Breakages

All breakages must be reported to the site. 

Charges will be made for any breakages caused by misuse or deliberate acts.

Booking amendments and cancellations

Woodcraft Folk seeks to deliver excellent customer service and will always try to respond positively to booking amendments.

Cancellation charge payable

28 days or more – Any booking deposits already paid or due 

27 – 14 days – 50% of the total cost for your booking 

13 – 0 days – 100% of the total cost for your booking Where a cancellation is made by Woodcraft Folk for any reason including the imposition of Government restrictions, then groups will be offered the opportunity to re-book on alternative dates. If the alternative dates are not acceptable then a full refund of ALL payments will be made.

Insurance

Whilst on site all guests will be covered by Woodcraft Folk’s Public Liability Insurance if you adhere to the terms and conditions and site usage procedures. Woodcraft Folk are not responsible for injuries to individuals or damage to their property whilst on site, unless the injury is caused through our negligence. Please take precautions to ensure that you and your equipment are safe and secure. 

We are aware that accidents do happen and ask for individuals to report any accidents to site staff and wardens. 

Personal belongings will not be covered by Woodcraft Folk’s insurance. If you are bringing expensive equipment we recommend that you check your Household Insurance or obtain Travel Insurance to cover any cost of damage or theft.

Covid-19 and other infectious disease safety requirements

To prevent the spread COVID-19 and other infectious diseases all guests must follow any relevant sector advice – E.g. National Youth Agency, public health bodies or UK / devolved Nations Governments etc.
