What costs do we need to cover?

As a group, you will need to cover the following:

  • Room hire
  • Equipment and resources needed for the sessions
  • Woodcraft Folk group registration - this is free for the first 6 months. After that, there is a fee of £125 plus £12.50 per child in your group to be paid annually. If your group is struggling to raise this money, please contact Folk Office as soon as possible to discuss what you can afford. Groups who can afford to pay more are strongly encouraged to do so, so that we are able to subsidise groups who can't. 
  • Expenses incurred by volunteers - you will need to agree what your are able to cover for your group based on your income. 

Groups cover these costs by:

  • Collecting subs or donations from children attending
  • Gift aid claims - the tax paid by anyone donating to the group is claimed back
  • Fundraising 
  • Applying for grants

Individuals involved in the group usually pay for:

  • Annual adult membership (membership of Woodcraft is free for young people up to 16)
  • Subs or donations per child attending
  • Any Folk costume they wish to purchase - available from Folk Supply
  • Camps and trips are an additional cost, but we try to be flexible to include everyone

 

Groups are encouraged to manage their finances so that those who struggle to pay these expenses aren't left out. Here's a few tips to help you do that: 

  • Keep a clear budget and accounts and share these so that its clear to everyone what is available. Involve everyone in financial decisions where possible. This will send a clear message that your systems are fair. 
  • Keep in mind that personal finances are a private matter. Anyone requesting a reduction in what they pay must be able to do so knowing that only the necessary people will know (usually just the treasurer). 
  • Always make it clear that people can pay more that what's asked. In groups who struggle to raise funds, this is often the only way groups can subsidise. 
  • Apply for specific funding to subsidise accesss. Financial support is only one way to reduce barriers for disadvantaged or under-represented groups, but it is a good baseline that funders understand is important.
